Frequently Asked Questions

Why should I use a travel agent?

Travel agents are experts in planning seamless, stress-free trips. They provide personalized recommendations, access to exclusive deals, and support before, during, and after your trip. Instead of spending hours researching, you get a tailored experience designed just for you—without the guesswork.

Will I pay more if I book through a travel agent?

No—this is one of the biggest myths in travel. Most travel agents are paid through commissions from hotels, cruise lines, and suppliers, meaning you typically pay the same price as booking online.

In many cases, you actually receive added value, such as:

  • Complimentary upgrades
  • Resort or onboard credits
  • Flexible booking options
Is it expensive to go through a travel agent?

In most cases, no. Many trips can be planned without additional fees.

BTM Travel Agency starts with a free 10-20 minute consultation. A $200 planning fee applies after the consultation when you are ready for custom trip planning.

Can travel agents actually save you money?

Yes—often more than you’d expect.

Travel agents have access to exclusive deals and industry partnerships that can provide:

  • Discounted rates
  • Room upgrades
  • Cruise credits
  • Free perks like breakfast or spa credits

These benefits can add significant value to your trip at no extra cost.

What do I get with the planning fee?

After your free consultation, the planning fee includes comprehensive services such as:

  • Personalized itinerary design tailored to your preferences and budget
  • Expert destination knowledge with insider recommendations
  • Access to exclusive deals and perks
  • Ongoing support, including help during travel if issues arise
  • Time savings, eliminating hours of research and coordination
Why is there a planning fee?

The planning fee reflects the professional service provided after your complimentary consultation. It helps ensure:

  • You receive dedicated time and attention
  • Your itinerary is carefully researched and customized
  • Agents can provide high-quality, reliable service
  • Serious travelers receive priority support

This model allows agents to deliver a higher level of service and accountability.

Do I have to pay in full right away?

No. Most trips can be secured with a deposit, followed by flexible payment plans.

Deposit amounts and payment schedules vary depending on your trip. Please note that deposits are typically non-refundable.

Do I need travel insurance?

Travel insurance is not required, but it is strongly recommended.

It can protect you in case of:

  • Medical emergencies
  • Trip cancellations or interruptions
  • Lost or delayed baggage

Without insurance, you may be responsible for unexpected costs while traveling.

How do I find passport and visa requirements?

Travel requirements vary by destination. It’s important to check entry requirements in advance to avoid delays or issues.

You can visit the official U.S. travel website: http://travel.state.gov

Should I just book through discount travel websites instead?

Discount sites like Expedia or Priceline may offer flash deals—but they often come with:

  • Strict cancellation policies
  • Non-refundable bookings
  • Limited or no customer support

With a travel agent, you get real support, flexibility, and peace of mind if anything goes wrong.

Is the $200 Custom Travel Planning Fee refundable?

No. The $200 Custom Travel Planning Fee is non-refundable once payment is submitted and BTM Travel Agency begins customized research and planning for your trip. The fee compensates BTM Travel Agency for the time, research, and professional planning services provided, regardless of whether you ultimately book the trip.

What happens to my $200 Planning Fee if I book my trip with BTM Travel Agency?

If you book the trip planned by BTM Travel Agency, $50 of your $200 Planning Fee will be credited toward your trip balance. The remaining $150 covers the customized research and planning services provided. The $50 credit has no cash value and cannot be refunded or transferred to another trip.

What happens if I decide not to book my trip with BTM Travel Agency?

If you choose not to move forward with the trip or decide to book independently or through another travel provider, the $200 Planning Fee remains non-refundable, and no portion of the fee will be returned.

Does paying the Planning Fee guarantee that my trip can be booked within my budget?

No. BTM Travel Agency will make reasonable efforts to develop options based on your requested budget and travel preferences; however, the Planning Fee does not guarantee a specific trip price, hotel, flight, itinerary, or other travel arrangement. Travel pricing and availability are controlled by third-party suppliers and may change at any time.

What if I make major changes after trip planning has started?

Reasonable adjustments to your planned itinerary may be accommodated. However, significant changes—including a new destination, substantially different travel dates, additional travelers, or a major change to the original trip request—may require additional research and could result in an additional planning fee. You will be notified before any additional planning fee is charged.

Will I receive hotel names, transportation details, and booking information before I book?

BTM Travel Agency will provide an overview of your proposed trip, including the destination, general itinerary, accommodation type, transportation arrangements, and estimated trip cost so you can make an informed decision. However, specific hotel names, transportation providers, booking links, supplier information, and other detailed booking information are not provided until your first payment toward the trip has been made. This policy protects the customized research, recommendations, and itinerary planning completed specifically for your trip. Once your first trip payment has been received, BTM Travel Agency will provide the applicable hotel, transportation, and booking details associated with your confirmed travel arrangements. Please note: Your $200 Custom Travel Planning Fee begins the research and planning process but is not considered your first payment toward the trip.
